ARTS ALIVE COORDINATOR

Department: Music, Arts Alive
Status: Full-Time Term, 24 months (with possibility of renewal)
Hours: Monday to Friday, 9:00 a.m. to 5:00 p.m. (35 hours per week), with occasional evenings and weekends required
Annual/hourly salary: $65,000 – $81,200 (position with benefits and pension plan)

Introducing the National Arts Centre
The National Arts Centre (NAC) is Canada’s bilingual, multi-disciplinary home for the performing arts. The NAC presents, creates, produces, and co-produces performing arts programming in various streams – the NAC Orchestra, Dance, English Theatre, French Theatre, Indigenous Theatre, and Popular Music and Variety – and nurtures the next generation of audiences and artists from across Canada. The NAC is located in the National Capital Region on the unceded territory of the Anishinabe Algonquin Nation.

Key activities:
- Overseeing the management and maintenance of Arts Alive’s unique booking system, Versolo, for student matinees and workshops, including the conversion of data in Excel;
- Liaising with the system developer to oversee Versolo’s continual improvement;
- Collaborating on the Processing of school bookings for student matinees and workshops, including the provision of front-line client service;
- Collaborating on Management of the Arts Alive email account, including responding to inquiries and directing messages to the appropriate personnel for prompt resolution;
- Overseeing Arts Alive’s internal and external reporting requirements and data collection;
- Overseeing and, where applicable, developing Arts Alive’s administrative processes;
- Managing room bookings, meeting agendas and minutes, invoice requests, contracts and other finance documents, file organization, and other essential administrative activities for the Arts Alive team;
- Coordinating on-site student matinee visitor experience with schools and internal stakeholders;
- Supporting Arts Alive in producing and facilitating events for schools, youth, and families both locally and nationally. This may include liaising with partners, artists, and youth program participants, assisting with promotional or programming events for Arts Alive at the NAC and in the community, and performing other ad hoc tasks to ensure the successful execution of Arts Alive-affiliated programming.
Required qualifications:
- At least 3 years of experience in administrative roles with significant responsibilities;
- Extensive experience with Microsoft Office Suite, specializing in Excel;
- Proven ability to develop and optimize workflow processes;
- Excellent written and verbal communication skills in both official languages;
- Excellent client-service skills;
- High level of digital literacy and adaptability to new technologies;
- Excellent organizational skills, including the ability to multi-task and effectively prioritize;
- Self-motivated with the ability to work independently and take ownership of tasks;
- Collaborative team player, adept at working within a complex organizational structure;
- Meticulous attention to detail and accuracy.
Preferred
- Interest in the performing arts, particularly in family and youth initiatives
